What will I be doing?
As the Food & Beverage Administrator, you will play a pivotal role in supporting the seamless operation of our Food & Beverage department, ensuring our team can provide world-class service with precision and excellence. Your meticulous attention to detail and organizational expertise will help uphold the highest standards of luxury hospitality, allowing our team to anticipate and exceed guest expectations. With a refined approach to administrative support, you will serve as the backbone of the department, enabling efficiency, enhancing communication, and streamlining operations.
Specifically, you will be responsible for:
- Welcoming and assisting guests with warmth and professionalism, addressing requests with discretion and efficiency.
- Managing all administrative functions, including word processing, email correspondence, data entry, filing, and document preparation with impeccable accuracy.
- Coordinating internal and external communications, expediting correspondence, and ensuring all inquiries receive timely and thoughtful responses.
- Handling scheduling, reservations, and travel arrangements to optimize the department’s operations.
- Maintaining meticulous records and supporting financial and inventory tracking to uphold departmental excellence.
- Assisting with special projects and events, ensuring flawless execution and alignment with the hotel's service standards.
- Liaising between leadership, vendors, and team members to foster seamless collaboration and operational efficiency.
- Assist F&B leadership with Banquet Event Order (BEO) management to ensure seamless execution of events.
- Collaborate with the Marketing and F&B teams on menu management and updates.
- Oversee reservation systems to optimize guest experience and operational efficiency.
- Ensure all private event and private dining requests are directed to the appropriate manager.
- Assist with cake requisitions and special requests for personalized guest experiences.
- Support "surprise and delight" initiatives to elevate guest satisfaction and create memorable moments.

The rate of pay for this role is $40 - $42 per hour and is based on applicable and specialized experience.
What are we looking for?
We are seeking a refined and highly organized professional to join our team as a Food & Beverage Administrator. The ideal candidate has experience in a luxury hospitality setting, either as an F&B Administrator or in an administrative role within a hotel and possesses a deep understanding of the fast-paced and service-driven nature of Food & Beverage operations. This individual will have exceptional communication and organizational skills, the ability to manage multiple priorities seamlessly, and a proactive approach to supporting leadership in delivering an unparalleled dining experience. With a keen eye for detail and a commitment to excellence, this role is essential in ensuring the department operates with precision and efficiency.
- Hotel experience as a Food & Beverage Administrator or in a similar administrative role is preferred.
- Previous experience in a luxury hotel is preferred.
- Strong organizational skills with the ability to multitask and manage competing priorities are essential.
- Exceptional communication skills, both written and verbal, with a polished and professional demeanor are required.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is required.
- The ability to maintain discretion and confidentiality in all aspects of the role is necessary.
- Strong attention to detail and accuracy in administrative tasks is a must.
- Food & Beverage experience in a luxury hospitality setting is preferred.
- Familiarity with POS and reservations systems (e.g., MICROS, OpenTable, SevenRooms) is highly desirable.
- Experience coordinating executive schedules, events, and special projects is preferred.
- Knowledge of hotel operations and a strong understanding of guest service excellence is an advantage.
