We are searching for an outgoing and self-motivated event specialist, who will assist in delivering outstanding events that build business relations, grow sales and amplify brand awareness. 

As an Events Specialist, you will be responsible for handling and delivering both internal and customer facing Hilton conferences and events as listed in the CEP (Customer Engagement Plan) to include: Internal Conferences, Large Industry Tradeshows, Customer Advisory Boards, Customer Events, Sales Meetings and Internal Team Meetings. 

Each event you work on will require extensive preparation from research, design, planning, coordinating and evaluating. In planning for each event, you will work with business partners and stakeholders to understand their objectives, evaluating event themes, managing event timelines, coordinating technical aspects, work closely with marketing, preparing reporting and communication and managing event budgets.

 

Your creativity in organizing and hosting successful events that meet the required business objectives will help us in promoting products, engaging with customers and creating brand awareness both internally and externally. 

The successful candidate will have proven success in events organization and communications and be able to foster multiple stakeholder relationships across a complex, global organization. 

What will I be doing?

  • Handle events from conception to planning and execution. This includes participating in the strategic planning process for each event.
  • Identify event objectives and construct initial budgets and return on investment measurement. You will handle the selection of vendor sourcing, management and supervision (working alongside the US Special Events & Engagement Team where appropriate).
  • Handle budget, track and report expenditures, and reconcile event billing. This will include monitoring timelines for multiple events, including sponsorship deliverables, payment schedules, and communication deadlines.
  • Align with Hilton Travel and Entertainment (T&E) policy for event compliance.
  • Run tradeshow booth creation and set-ups. This includes constructing event websites and registration sites via Cvent and other vendors.
  • Collaborate with Hilton partners on event messaging and promotion as well as working with B2B to execute.
  • Review event communication (invitations, emails) for information accuracy and branding/messaging. This includes leading event planning calls throughout the entirety of the event lifecycle.
  • Travel for site selections, pre-planning meetings and to handle the event.
  • Work within a collaborative culture to share best practices for executing events and takes steps to instill value engagement principles across their team
  • Working closely with Sales & Commercial leadership in planning and executing internal and external corporate customer events

 

What are we looking for?

  • Proven track record in organizing complex events, including logistics and event management
  • Be able to coordinate and streamline events and communication with multiple stakeholders across the enterprise, region’s and disciplines
  • Narrative development and storytelling to key stakeholders & customers
  • PowerPoint presentation and video production
  • Excellent relationship management and personal communication skills
  • Selling, influencing and collaboration skills
  • Strong technical knowledge. Proficient in Microsoft Outlook, MS Word, Excel and PowerPoint. High attention to detail.
  • Strong customer service and communication skills (verbal, written), while employing diplomacy with high-level executives and customers within the organization on a global scale.
  • Critical thinking and both quantitative and qualitative analytics skills with the ability to use logic and reasoning to identify the strengths/weakness of alternative and differentiated solutions, conclusions or approaches to problem.
  • Self-starter, well organized, extremely detail-oriented and an assertive team player, willing to take ownership of responsibilities, and possess a high level of positive energy and drive.
  • Excellent time management and organizational skills.
  • Ability to manage multiple priorities, work well under pressure and effectively handle concurrent demands to prioritize responsibilities
  • Ability to work independently with minimal supervision.
  • Absolute discretion and confidentiality regarding sensitive information
  • Strong technical knowledge. Proficient in Microsoft Outlook, MS Word, Excel and PowerPoint. High attention to detail.
