What will I be doing? 

Assistant Purchasing Manager serving Waldorf Astoria Maldives Ithaafushi will ensure the accuracy of stocks, accounts payable, prepayments, and creditor/accruals accounting records and provide periodic reports to the Finance department. Specifically, you will be responsible for performing the following tasks to the highest standards.

  • Assist the Purchasing Manager in acquiring all necessary goods and equipment for the hotel, ensuring accurate purchasing at competitive prices and proper quantities.
  • Help prepare regular reports on goods purchased and inventory levels and report monthly savings to the hotel team to facilitate effective future purchasing.
  • Collaborate with hotel management to enhance the purchasing process, aiming to reduce waste and improve profitability.
  • Maintain positive relationships with suppliers, third parties, consignors, and sales representatives to secure the best prices and timely deliveries. Review and find alternative suppliers if necessary.
  • Adhere to fire, health, and safety regulations, follow correct procedures, and ensure all operations meet HACCP standards.
  • Conduct regular inspections of stores and receiving processes, maintain minimum stock levels, and ensure inventory is properly handled and in good order.
  • Assist in preparing and compiling yearly budgets for capital and operating expenses by coordinating with various department heads.
  • Implement cost-saving strategies, conduct market surveys, compare prices with local and foreign suppliers, and request sponsorships for events to reduce expenses.
  • Follow up with team members on their daily routines, conduct necessary training, and ensure the team is aware of management requirements and changes.
  • ·Attend finance meetings and briefings as required, and coordinate with suppliers, forwarding agencies, and the Clearing Agent to ensure smooth procurement and delivery processes.
  • Serve in an environmentally conscious manner, suggesting ideas for constant improvement in the purchasing system, including internal controls.
  • Organize approvals for special boat transfers when needed, supervise supply boat arrivals, and ensure all goods are received in good order.
  • Prepare for and implement assigned tasks during emergencies such as fires, power failures, and tsunamis, and facilitate reporting and investigation of workplace injuries and illnesses.
  • Ensure all purchase requests have proper approvals, attach quotation backups to purchase orders, and update price quotes in the Inventory Controlling System.
  • Perform any other tasks necessary for the efficient running of the Finance Department and the resort, as required by the General Manager, Hotel Manager, or Director of Finance

  • Possess a degree or diploma in procurement or a related business field, with prior experience in a similar role.
  • Strong financial knowledge, budgeting skills, familiarity with purchasing systems (Check SMC), and knowledge of departmental and resort operations. Excellent computer skills and strong verbal and written English.
  • Creative and innovative approach to problem-solving with excellent attention to detail and a methodical, well-organized nature.
  • Passionate about delivering exceptional guest service, with a strong work ethic, reliability, accountability, flexibility, and resilience
  • Good communication skills, with the ability to exercise judgment, make sound decisions, and demonstrate excellent leadership and interpersonal abilities.
  • Strong organizational, planning, and analytical skills, with the ability to work under pressure, maintain a positive attitude, and work both independently and within a team.
