The Sales Trainee works with the Sales Director and in coordination with the Commercial Director, he / she implements all sales activities in his / her area of responsibility. These include coordinating negotiation processes, Letters of Agreement, secretarial backup, hotel inspections or any other specific projects as assigned.
What will I be doing?
As the Sales Trainee you will be responsible for performing the following tasks to the highest standards:
Ensure that all coming correspondence is replied within 24 hours and put-on trace or file.
Maintain an efficient filing, tracing and correspondence system of the division.
Handle the coordination of follow-up actions by Sales & Marketing team members or other departments with relations to Sales.
Prepare and send out quotations or contracts to travel agents tour operators or related.
Maintain and update mailing lists.
Handle and direct mail activities.
Administer and coordinate any other Sales activities.
Ensure that collaterals and promotion materials are on hand at all times.
Establish pricing strategies and sales targets for the hotel.
Be aware of event details related to the accounts of designated Banquet Sales Managers.
Act as liaison with other departments on internal communications, department briefings and Team Member relations.
Ensure the development, update and maintenance of promotional materials.
Assist Sales Managers in liaising with other departments for information, i.e., liaising with Banquet Operations for floor plans and equipment, with the Chef for special menus etc.
Maintain the highest standards of professionalism, ethics and attitude towards all hotel guests, clients, team member and team members.
Perform related duties and handle special projects as assigned by the Commercial Manager.
Attend daily departmental briefings.
Participate in discussions.
Issue communications on sales –related information.
Work closely with internal customers.
Enhance on effective and promote response to customers’ needs and follow-up with relevant documents.
Demonstrate honesty, care and nondiscrimination in all our relationships and establish effective team member relations.
Enhance teamwork among colleagues for effective performance.
Assist in ad-hoc projects as assigned by supervising Sales Managers and the Commercial Manager, including site inspections and event followings.
Inform clients of current rates as well as any charges in rate by letter, fax and telephone calls.
Maintain high level of exposure for the hotel in major market areas through telephone, fax, contacts and written communications to represent hotel.
Assist the Sale Manager and Executive in conducting hotel inspections for all walk in, meeting group and contracted clients.
Inform customers promptly about all hotel information changes.
Responsible for sending out the Post-event Critique Form with Thank You Letter at the end of each event.
To be aware of the hotel hygiene and food safety control standards and procedures in handling complaints on food hygiene (e.g., food poisoning).

Carry out any other reasonable duties and responsibilities as assigned.

Coordinate with Front Office, Banquet and Credit on each booking requirement.
Welcome large groups and ensure smooth check-in, assisting in servicing groups while in house.
Ensure billing instructions are correct and accurate.
Make sure the correct information from clients are passed on to the concerned department promptly.
Trace rooming list and deposit on its due date per contract.
Handle tasks assigned by the Commercial Manager.
