The Rooms Coordinator is responsible for managing room assignments to optimize inventory, occupancy, and guest preferences. Working closely with the Front Desk team and related departments, the Rooms Coordinator ensures a smooth and exceptional experience for guests staying at the Hilton Toronto.


Key Responsibilities:

  • Review daily arrivals and assign rooms according to Hilton Honors status, VIP lists, and special requests; collaborate with Executive Lounge as required
  • Oversee room type balancing, overbooking management, relocation prevention, and any duplicate reservations
  • Coordinate with Housekeeping to ensure timely room readiness and accurate room status updates
  • Communicate effectively with Front Office, Housekeeping, Engineering, and Revenue teams to resolve discrepancies
  • Support group rooming list coordination and ensure smooth group arrivals and departures
  • Maintain accuracy in PMS for room status, blocks, and occupancy data
  • Prepare and distribute key daily reports (arrivals, VIPs, out-of-order, and discrepancies)
  • Pre-register designated guests and prepare key packets

  • Ensure rates match market codes and document exceptions

  • Follow up with guests to ensure their requests or problems have been met to their satisfaction

  • Receive, record, and relay messages accurately, and thoroughly

  • Ensure brand standards are upheld in room allocation and guest recognition
  • Assist Front Office during peak check-in/out periods as needed

Required Qualifications:

The Rooms Coordinator serving Hilton brands are always working on behalf of our Guests and working with other Team Members. To successfully fill this role, you should have the attitude, behaviours, skills, and values that follow:

  • Minimum 1 year experience in Front Office or Reservations within an upscale or full-service hotel environment (previous Hilton experience preferred)
  • Strong understanding of room inventory management and hotel operations
  • Proficient in Property Management Systems (preferably OnQ PMS) and MS Office applications
  • Exceptional communication and organizational skills
  • Strong attention to detail, accuracy, and priority management skills
  • Comfortable in a fast-paced, high-demand environment
  • Demonstrated ability to make sound decisions under pressure
  • Proven guest service and problem-solving abilities with a proactive approach
  • Flexibility to work various shifts, including weekends, evenings, and holidays
  • Demonstrated ability to collaborate effectively with multiple departments
  • Diploma or degree in Hospitality Management or related field

Preferred Qualifications:

  • Previous experience as a Rooms Controller or in a similar coordination role within a large hotel (400+ rooms)
  • Familiarity with Hilton brand standards, OnQ PMS, and related Hilton systems
  • Experience managing group blocks and coordinating room assignments for high-profile or VIP guests
  • Knowledge of revenue management principles and room optimization strategies
  • Strong analytical and reporting skills with attention to operational detail
