The DoubleTree Suites by Hilton Austin and Embassy Suites Downtown South Congress are seeking a passionate and dynamic Complexed Human Resources Coordinator. This role will be assisting the Complexed Director of Human Resources who works between both the DoubleTree Suites by Hilton Austin and the Embassy Suites by Hilton Austin Downtown South Congress. As the Complexed Human Resources Coordinator, you will play a pivotal role in fostering a positive and inclusive work environment by implementing and managing various recognition programs to celebrate and acknowledge the contributions of our team members. 


What will I be doing?

  • Assist team members both by telephone and in person with information, forms, and answering questions.  Requires the use of telephone equipment, ID camera, copy machine, fax machine, and computer.

  • Provide administrative assistance such as filing paperwork, tracking disciplinary action notices, and maintaining department and personnel files.  Initiate property onboarding for new hires.  Creates and distributes memos, flyers, name badges and newsletters, as assigned.  Maintains the electronic bulletin board and monthly calendar.

  • Assist in tracking team member incentives

  • Responsible for complying with the Record Retention policy, I-9s and E-Verify related to all Human Resources/Payroll documents.

  • Assist with payroll duties as needed. 

  • Update various reports on a monthly basis, including but not limited to workplace accident summaries, birthdays and service anniversaries.

  • Application/Taleo processing, including what to say and how to handle applicants.  Tracking and updating open positions on various reports and postings.

  • Assist with training initiatives by coordinating with Director to create/organize training workbooks for all training classes, as needed.  Takes photos at Team Member events and of monthly award winners, as needed. Assists with organizing engagement events as needed (e.g. Mini Rallies, Quarterly Rallies, etc.).

  • Onboarding new team members and completing new hire paperwork

     

What are we looking for?

  • Proficiency in Microsoft Office Suite (required)

  • Experience in customer service or the hospitality industry (required)

  • Previous Human Resources experience (preferred)

  • Familiarity with Canva and Cricut design tools (preferred)

  • Payroll processing experience (preferred)

  • Hotel industry background (preferred)

  • Experience with Taleo applicant tracking systems (preferred)

  • Degree in Human Resources or related field (preferred)
