Executive Administrative Assistant - Hilton Waikoloa Village
Hilton Waikoloa Village is seeking a highly organized, proactive, and personable Executive Administrative Assistant to support the General Manager and the executive leadership team. Located on 62 acres of Hawaiian Paradise on Hawaii’s Big Island. Overlooking the sunny, scenic Kohala Coast, our oceanfront resort offers a taste of island life full of culture. Our property holds 3 Hotel towers and 241,000 sq ft of meeting space.
Key Qualifications:
- Minimum 5 years of administrative experience.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Strong written, verbal, and interpersonal communication skills with the ability to interact effectively across all levels of the organization.
- Exceptional multi‑tasking, organizational, and time‑management abilities.
- Detail-oriented, with a high level of accuracy, professionalism, and confidentiality.
- Ability to prioritize tasks, manage shifting deadlines, and work independently.
- Must be highly organized, team‑oriented, and able to work seamlessly with senior leadership.
Shift Pattern: Day AM PM
Hourly Pay Range: $26.00 - $35.00 and is based on applicable and specialized experience.
What will I be doing?
As an Executive Administrative Assistant, you would be responsible for responding and providing administrative and clerical support to the hotel General Manager. Specifically, you would be responsible for performing the following tasks to the highest standards:
- Provides the General Manger and hotel executives with administrative support including typing, filing, answering telephones, maintaining appointment calendar, making travel arrangements, note-taking and other general office duties.
- Opens incoming mail and distributes accordingly.
- Routes mail, faxes and other printed matter.
- Maintaining appointment calendar.
- Answer telephones.
- Community Outreach and Event support.
- Make travel/accommodation arrangements, process expense reports.
- Perform other general office duties and assist with special projects, as needed.
